AIIC Members’ Code of Practice

This Code of Practice sets out the professional standards expected of all members of the Association of Independent Inventory Clerks (AIIC). By joining the AIIC, members commit to upholding the highest levels of integrity, impartiality, and professionalism in the delivery of inventory services.


1. Professional Standards

  • Members shall act with honesty, integrity, and fairness at all times.
  • Services must be delivered with due care, skill, and diligence.
  • Members shall not bring the AIIC or the inventory profession into disrepute.

2. Impartiality and Conflicts of Interest

  • All reports and services must be carried out in an impartial, unbiased, and independent manner.
  • Any actual or potential conflict of interest must be disclosed in writing to all relevant parties.
  • Members must not accept instructions where impartiality could reasonably be questioned.

3. Compliance and Legal Obligations

  • Members must comply with all relevant UK legislation, including but not limited to housing law, health and safety requirements, and data protection regulations.
  • GDPR and data security obligations must be followed when handling client or tenant information.
  • Members must co-operate with AIIC compliance procedures and provide evidence of compliance upon request.

4. Insurance and Risk Management

  • Members must hold valid public liability insurance and professional indemnity insurance at all times.
  • Proof of insurance must be supplied to the AIIC on request.
  • Members are responsible for ensuring their staff or subcontractors are adequately insured where applicable.

5. Reporting Standards

  • Inventory reports, check-in, check-out, and mid-term inspections must be accurate, clear, and comprehensive.
  • Reports must be produced using consistent, professional formats, with appropriate supporting photographs where relevant and adhere to the AIIC standards.
  • Members must complete and deliver reports within agreed timescales.

6. Client and Tenant Care

  • Members shall treat all clients, tenants, landlords, and agents with respect and professionalism.
  • Clear communication must be maintained throughout the instruction, including transparent fees and terms of business.
  • Members shall ensure that vulnerable tenants or those requiring additional support are treated fairly and sensitively.

7. Confidentiality

  • Information obtained in the course of work must be treated as confidential and not disclosed without proper authority, unless required by law.
  • Members must not use confidential information for personal gain or to the detriment of clients, tenants, or the AIIC.

8. Complaints and Discipline

  • Members shall operate an accessible complaints procedure for clients and tenants.
  • Complaints must be handled promptly, fairly, and transparently.
  • Members must comply with all decisions and rulings made by the AIIC in respect of complaints, compliance, or disciplinary matters.

9. Commitment to the AIIC

  • Members shall support the objectives of the AIIC and contribute to raising standards across the profession.
  • Members shall not misuse the AIIC name, logo, or membership for purposes outside the agreed terms.
  • Breaches of this Code of Practice may result in disciplinary action, suspension, or removal from membership.
