One of my agent clients photographs the tenant’s passport and Visa and on the copy she keeps on file
she uses a stamp that states
This is a True Likeness of name of person
and that I have seen the original documents, she then dates and signs the stamped quotation
keeping them in the file for that property.
She complies with and registered member of IPO for Data Protection, this is something you should be aware of
as you would not be covered under the Data Protection ACT unless you had signed up to it.
That landlord should also be signed up to Data Protection because they are keeping the tenant’s personal data
and could be liable for huge fines.
This is something I would not personally do. If the landlord does not want to use a letting agent
then they should be responsible for doing everything themselves.
They are just being cheap.I keep all of my word reports in the cloud as you never know how a tenant will stay in a property, paper copies are destroyed as I usually have a scanned
copy if I need to look back and a scanned copy is deemed to be legal as time and dates can be checked.
We are required to keep all tax records for 6 years, but lately I have heard from some accountants that HMRC want records from 10 years ago.It seems as though there has been some issues within The AIIC, particularly website issues for a while, we may not know what has happened and why.
We have to be patient while Danny & Emma take over from Helen & Pat and allow a transition period to occur for things to get sorted out.
Also please be aware that these roles are voluntary and done along side their inventory businesses, so in effect Danny & Emma and others are
running two businesses which is very time consuming, and I am guessing that a lot of AIIC tasks are being done after hours and on weekends.Thanks very much to Pat and also to Helen for all of your efforts while in charge of the AIIC. We will miss you.

I have the standard disclaimer in my inventories that states the following:
If smoke alarms and carbon monoxide detectors are to be tested at the time of check in by the Inventory Clerk this test will be for POWER ONLY. The test button will be pressed until a sound is emitted. This information will be recorded on the inventory document which will be signed by the tenant if present. This test does not certify that the alarm is in full or proper working order and that it will be working during the tenancy should any problem occur. The inventory clerk will not be held liable for any damage or malfunction occurring during the testing process. The client will be informed of any alarms tested that appear to be without power. If we are not asked to carry out a check in, it will then fall to the agent or landlord to test these alarms since we will not be present on the tenancy start date.
This has come from AIIC CouncilI have only worked one Bank Holiday since I have been in business, the agent actually had booked a check out and a check in for the same day
I emailed him and said that it was a Bank Holiday and that I was closed, we could not rearrange it for the next day as the both old and new tenants
had booked removal companies, I charged each of them and extra £50 and said I would not do either job until I was paid in advance, it was cheaper for them to pay me
the extra money than to change their dates.

I also use RND Softech and I have been using them for about 18 months, they work 24 hours a day.
I upload files via http://www.hightail.com, its a free file sharing service, the typists then download the file and email you that they have received the file.
once the report is typed they email the word document back to me.
I know RND often inserts photos for inventory companies but I don’t know what the charge is. Best ask Shankar
Typing only is 30p per audio minute for fast turnaround, if you want 48 hour turnaround its 25p.
I pay their invoice via PayPal.

If I get a landlord or tenant that is paying for the job then I invoice them before the job is
done and will only do the job once I have received payment.
An agent I know use to accept card payment for the holding fee on properties but when a prospective tenant
pulled out of taking the property the tenant said to her bank that she did not authorize the payment
the card company refunded the money to the tenant without checking with the agent about the transaction, so the agent told them to cancel the contract and collect their machine as she had lost out on this transaction.
Some people use Paypal or IZettle, IZettle charge from 2.75%-1% I think the more transactions you take the lower the figure.
Do you add the card fee onto your invoice cost?I too have thought about apps, but have always decided against them and prefer to dictate and get them typed up.
I am not computer savvy and also find that I often cannot read drop down box menus as the font is small, and they can be fiddly, I don’t have the
patience for apps etc.
one thing I have noticed with app inventories the files are always very large, you may want to look at adding the ability to reduce the file size like you
can with ordinary PDF files.
as for typing costs I pay 35p per audio minute using typists in India and I usually have my reports back by the following morning.
NZ Typists charge about 70p per minuteSomething else to consider is nearly new, a car that is less than 12 months old but with low miles and balance of new car warranty.
This is the way I went last year and it was a lot cheaper than new, the Autotader website has this function, I also found it a lot cheaper
to buy my car in the Home Counties instead of buying it in London where I live.
As the 17 plates are on their way in , now is the time to buy. -
